Make.com vs. Zapier vs. n8n for German Marketing Teams

Jun 2026 · 8 min read marketing ai

Which workflow automation tool is right for German marketing teams? Data residency, GDPR compliance, pricing in EUR, and when self-hosted n8n is worth the setup cost.

Make.com vs. Zapier vs. n8n for German Marketing Teams

The core question for German marketing teams choosing workflow automation is not “which tool is most capable.” It’s “which tool can process the data I need to move without creating a GDPR liability.”

The answer depends on what data you’re automating. Personal data (contact names, emails, behavioral tracking) moves through one lens; non-personal operational data (campaign metrics, content publishing triggers) moves through another.

The GDPR-First Selection Framework

Before comparing features, data residency determines which options are viable:

Make.com: Czech company (Prague HQ), EU-based. GDPR DPA available. Data processed on EU servers by default. GDPR Green for most German B2B use cases.

Zapier: US company (Sunnyvale, CA). DPF-certified. EU data residency available on Teams/Enterprise plan only (not lower tiers). Standard Zapier accounts process data on US servers. GDPR Yellow — workable with correct plan and DPA, but requires active verification.

n8n (self-hosted): Open source. You host it on your own infrastructure (your server, your AWS/GCP instance, or a Hetzner server in Germany). No third-party processes your data. GDPR maximum compliance for self-hosted deployment. Cloud version (n8n Cloud) is EU-hosted.

Make.com — Detailed Review

What it is. Make.com is a visual workflow automation tool — you see each step of a workflow as a node in a diagram. More complex multi-step automation is more natural in Make than in Zapier’s list-based interface.

GDPR status: 🟢 Green

  • Czech Republic (EU) company
  • Data processed on EU infrastructure
  • GDPR DPA available: Yes (gdpr.make.com)
  • Data sub-processors documented in privacy policy

Pricing (EUR):

  • Free: 1,000 operations/month (good for testing)
  • Core: €9/month (10,000 operations/month)
  • Pro: €16/month (40,000 operations/month) — covers most SME automation needs
  • Teams: €29/month (unlimited users)

Operation counting. Make charges per “operation” — one step in a workflow. A 5-step workflow that runs 1,000 times = 5,000 operations. At Core tier (10,000 ops/month), you can run a 5-step workflow approximately 2,000 times per month. This is sufficient for most SME marketing automation at €9/month.

Strengths:

  • Visual interface makes complex workflows easier to design and debug
  • Excellent integration library (800+ apps, including Brevo, HubSpot, Pipedrive, Airtable, Notion)
  • Error handling and scenario debugging are better than Zapier at this price point
  • Scheduling flexibility (run on specific intervals, schedules, or triggers)

Limitations:

  • Learning curve is steeper than Zapier for simple workflows
  • Free tier operations can run out quickly if you’re not counting operations carefully
  • Some integrations are “instant” (webhook-based), others are polled (5-15 minute delay) — important for time-sensitive triggers

German B2B marketing use cases:

  • Brevo form submission → CRM contact creation + consent field update
  • New content published in CMS → social media scheduling + internal notification
  • Lead score threshold reached in HubSpot → Slack notification to sales
  • Monthly CRM data export → Google Sheets report → email to management

Zapier — Detailed Review

What it is. Zapier is the most widely integrated workflow automation tool. Simple “Zap” creation: if X happens, do Y. Multi-step Zaps are available at paid tiers.

GDPR status: 🟡 Yellow

  • US company
  • EU data residency: Available on Teams ($299/month) and Enterprise plans only
  • Standard Free/Starter/Professional accounts process data on US servers
  • DPA available for Teams+ accounts
  • DPF-certified: Yes

Pricing (USD, converted to EUR approximate):

  • Free: 100 tasks/month, 5 Zaps (limited to 2-step)
  • Professional: ~€19/month (750 tasks, unlimited Zaps, multi-step)
  • Teams: ~€69/month (minimum) — required for EU data residency

The EU data residency problem. For German companies processing personal data through Zapier: the minimum tier that includes EU data residency is Teams at ~€69/month. The cheaper tiers (Free, Professional) don’t qualify. This makes Zapier more expensive than Make.com for GDPR-compliant German use at equivalent functionality.

Strengths:

  • Widest integration library (6,000+ apps)
  • Simplest interface for basic automation (30 minutes to first working Zap)
  • Best documentation and community support
  • Fastest time-to-first-value for simple use cases

When to choose Zapier over Make.com for German teams:

  • Simple 2-step automations where the app isn’t in Make’s library
  • Teams where non-technical staff need to manage automation independently
  • US-based companies with German operations where EU data residency isn’t a hard requirement

When NOT to choose Zapier for German teams:

  • You process personal contact data through the automation
  • You need GDPR Green status for procurement approval
  • Your budget cap is below €69/month for the EU residency tier

n8n — Detailed Review

What it is. n8n is an open-source workflow automation tool that can be self-hosted (run on your own server) or used via n8n Cloud (EU-hosted SaaS). The architecture is similar to Make — visual, node-based — but open-source.

GDPR status (self-hosted): 🟢 Maximum

  • Data never leaves your infrastructure
  • No third-party DPA required
  • You are the data processor
  • No subscription agreement covering your data processing

GDPR status (n8n Cloud): 🟢 Green

  • German company (Berlin)
  • EU-hosted
  • DPA available

Pricing:

  • Self-hosted: Free (open source). Server costs: ~€20–50/month (Hetzner VPS in Falkenstein, Germany — 5–10 TB bandwidth included)
  • n8n Cloud: €20/month (10,000 executions), €50/month (teams), custom (enterprise)

The self-hosted advantage for German companies. At ~€25/month total server cost, n8n self-hosted is the cheapest GDPR Green workflow automation for German companies that have the technical capacity to set it up. The setup requires: a VPS or cloud instance, Docker installation, and basic server administration. For a German SME with an IT person or technically capable marketing operations person, this is a 4–8 hour initial setup.

Strengths:

  • Maximum data control — GDPR maximum compliance in self-hosted mode
  • 350+ integrations (growing rapidly as open-source community adds connectors)
  • No per-operation or per-task pricing in self-hosted (unlimited executions)
  • JavaScript/Python code nodes for custom logic
  • Active German-speaking community (n8n was founded in Berlin)

Limitations:

  • Self-hosted requires server administration knowledge
  • Less polished interface than Zapier (though improving rapidly)
  • Some integrations that Zapier has aren’t in n8n yet
  • Debugging complex workflows requires more technical knowledge

German B2B marketing use cases where n8n self-hosted is the right choice:

  • Automation workflows that process contact personal data (name, email, behavioral data)
  • Companies with IT procurement that requires on-premises or Germany-hosted data processing
  • High-volume automations where per-operation pricing would be expensive
  • Teams building custom integrations with internal tools (DATEV, custom CRM, legacy systems)

The Decision Tree

Start here: Does your automation process personal data (names, emails, behavioral tracking data)?

Yes: → Does your company/IT require EU data residency? → Yes → Make.com or n8n (self-hosted) → Does your company/IT require German data residency specifically? → Yes → n8n self-hosted on Hetzner

No: → Simplest possible interface is priority? → Zapier Professional → Complex multi-step workflows at lowest cost? → Make.com Core

Volume decision:

  • Under 10,000 operations/month → Make.com Core (€9) or n8n Cloud (€20)
  • Over 10,000 operations/month with personal data → n8n self-hosted (~€25 server cost)
  • Enterprise volumes → n8n self-hosted or Make.com Teams

The GDPR-Safe Stack for German Marketing Automation

The combination that covers most German B2B marketing automation needs at maximum GDPR compliance:

Tier 1 (simple, no personal data processing):
Make.com Core at €9/month — non-personal marketing operational automation (content publishing, campaign notifications, reporting)

Tier 2 (personal data processing, budget-conscious):
n8n Cloud at €20/month — contact data, CRM automation, lead processing

Tier 3 (personal data processing, maximum control):
n8n self-hosted on Hetzner VPS at ~€25/month server cost — full data sovereignty, unlimited execution
